So you have decided to use Future Buckets for your activities, but what happens when you try and update your project? A lot of times you choose certain settings and don’t know what will happen when you start updating your project. We will look  at some settings and see how they affect the calculations for our project :

1) Recalculate Actual Units and Cost when Duration % Complete Changes

It is a Project level setting and is located on the Settings Tab in the Projects View:

a) Option Checked

If this option is checked and when you update your project and enter Duration % Complete, Primavera calculates the Actual Units against the curve and they are spread linearly against the Actual Duration but the Actual total Units will be based on the Manual Curve.

If we see in the above table, for an Activity A the budgeted units planned for first four weeks was 24 but not spread linearly. If this option is checked and you update Duration % complete, Primavera keeps the total Actual Units till week four as 24 but spreads the units linearly as in 6 per weeks rather than what you planned as budgeted.

b) Option Unchecked

The actual units are not recalculated if this option is unchecked and you have to  manually update units in a time period, this helps if the actual units are not linearly distributed

Usually if you are using Future Buckets then that means that your Budgeted Units are not linearly spread and in such cases I recommend that you make sure that the option “Recalculate Actual Units and Cost when Duration % Complete Changes” is unchecked, so that you can update the Actual Periods when you update the activity.

2) Calculate costs from units

If in resource options as shown below “Calculate costs from units” IS CHECKED then editing the Budgeted or Remaining Costs will cause the units to be respread. If “Calculate costs from units” IS NOT CHECKED then costs will still use the manual curve to spread, but will not affect the spread of the units.

But for this setting to hold true, the global setting at project level in Projects settings >Calculations tab “Update units when costs change on resource assignments” needs to be CHECKED.
